- Please read and understand your role early and often! The Chairperson/s are happy to answer any questions you have. We only ask that you read this page all the way through, and that you review this committee's report from last year, a PDF file at the bottom of this page, before proceeding.
- Your committee members will bring all sorts of creative ideas to your committee. So try to recruit volunteers before the end of the school year as it may be hard to wrangle volunteers once school begins. Stay in touch with your volunteers over the summer.
- We would like to store as many of the Spaghetti Supper documents on this website as possible, so please keep an accurate electronic record of your progress as you go.
- Once the Chairperson/s set the first Spaghetti Supper meeting in late August or September, schedule your own committee meeting in September.
- Please attend all Spaghetti Supper meetings, sending a representative only if you cannot attend. Your attendance helps you and the rest of the committees.
- If you make use of you committee binder, add a printed coy of you report and copies of any documents and be sure to return it to the Chairperson/s at the wrap-up meeting after the supper.
- Send an electronic copy of your report and any support documents including photographs, PDFs of documents and/or templates for future chairs to use, to the Spaghetti Supper Chairperson and Class Treasurer.

Wait Staff Committee Responsiblilities
The primary responsibility of this committee is to train, motivate, and assign table #’s & server partners to each child. This ensures that the night will run smoothly. You need to make sure you have the correct number of servers at each table and that the children you assign to each table work well together. Work closely with the Decorating Committee to be sure the floor plan doesn't change from that submitted to the school.
- Recruit your staff as soon as you take on the roll of Waitstaff Chair. It is also very helpful to have parents on the staff who have been to a SS or who have an upperclassman and they have already volunteered and know the ropes.
- Be sure emails explain the details of the evening, including the attire you decide is best for the event, shift assignments for parent volunteers and kids assignments.
- Send an email (Early Oct) to the parents introducing yourself and stating when the training will occur, at this point you need to determine what shifts this kids will be assigned A-L & M-Z. Send reminders and updates about the event if there are changes.
- Make it very clear to parents they are to pick up there children as soon as their shift ends. It can be disruptive to have kids lingering around after their shift has ended. It is great if kids want to work a double shift just make sure you know who plans on staying. Have the parents email you if the kids can stay for 2 shifts.

Provide uniforms for waitstaff
- Order or make boutonnieres. Some years we receive flower donations, other years made them out of tissue paper. If you want a donation you need to solicit area flower shops and ask for a donation. Let them know publicity will print their name and a thank you in the SS flyer that each patron gets as they enter the cafe. Let the shops know we have over 1200 patrons. Be sure to communicate that you will be soliciting for the flower donation with the Supper Chair/s and the Procurement Committee before you begin.
- There 100 black Aprons with all of the other supplies in the storage shed.
- Make Name tags for each student and Parent volunteer

- By this time you have already set up meeting time with Liz Gray for the day before the SS. Training general occurs during school hours first thing in the morning.
- Be sure to send the teachers a copy of the training day documents prior to the meeting.
- Reserve the kitchen and Cafe for training day. Prior to training day try to meet with the chairs of the kitchen crew to figure out the details on how the food will be arranged on the serving line.
- Ask for a parent helper at the meeting it can be very helpful when you are trying to talk to 70 + kids.
Shift Assignments
- Arrange students into equal shifts (i.e. A-L 1st shift and M-Z on 2nd Shift) see attached training document.
- Do not assign yourself to any particular Job you should float the for the night and monitor the evening. you will be asked many questions and it is most helpful if you are on the floor . Your 2 other chairs can be assigned to where ever you want but one of you should most definitely float because you will be needed everywhere. For both years I started in the back room with the kids preparing them for the evening.
- Get the final design layout from decoration committee and use this layout to assign the kids to the tables. 1-2 kids per table 3 on LG tables if class size allows.
Training Day
- Print out a training document with general instructions and shift assignments for each student to take home. You have already set this in your email to parents but another copy sent home is a good idea. See attached documents.
- At training, go over the details of how to wait on patrons and set up a mock training, where each child can go through the food service line and practice serving.
- TIP… remind kids to clear tables and have a tray in hand so they can take orders or clear a table at any time. remind them this is serious and no fooling around!!!! Also no eating or drinking on the floor during their shift.
Parent Volunteers
- You will need approximately 12-15 volunteers to fill the rolls of hostesses, spotters on the floor, kids table chaperone and back room volunteers.
- Send an email to the volunteers asking them if the can cover 1 or 2 shifts.
- Spotters are assigned to various spots in the cafeteria to monitor the night of the event. See attached documents for clarification

Follow Up

- Determine quantities of supplies needed
- Check Committee bin to retrieve the 100 black aprons. Bin is housed in CSA/CEF Storage Shed at the school. Contact the CSA Publicity Chairperson or Secretary for access to the shed
- Tell the Procurement Committee that you will need flowers for the wait staff or that you will need tissue paper to make the boutonnieres. If Procurement Committee will not acquire either of these items, decide if you will solicit for donated flowers, and begin calling local flower shops if you that is the route you are taking. Otherwise purchase supplies and ask a volunteer to manage the creation of the tissue boutonnieres.
- Refine schedules and waitstaff instructions

- Set up table with aprons, name tags and boutonnieres for each shift.
- Remind kids as they go out smile have fun and remember to serve the patrons as they sit at your assigned tables.
Follow Up
- Collect all aprons as waitstaff leave the Supper
- Surface clean or wash and iron dirty aprons and return them to the storage bins
- Send email to all waitstaff to thank them for their hard work
- Complete and submit final committee report to chairpersons
